1. Work out who to re-enrol
By law, you also have to include employees who opted out or cancelled contributions more than 12 months before your re-enrolment date.
You need to work out who is eligible to be re-enrolled. Anyone who left the workplace scheme (opt-out or ceased contributions) more than 12 months before the re-enrolment date and is:
aged between 22 up to State Pension Age
and earns over £10,000 a year, or £833 a month, or £192 a week
You also have the option to re-enrol others into the pension scheme, but it’s not a legal requirement. You can read more about this here.
For example, you can do this by looking at all your employees in a file on your payroll software, their age, their total salary, and the date they opted out of the workplace pension.
2. Tell your employees that they’re going to be Re-enrolled
Now you’ve identified who is eligible to be re-enrolled, it’s good practice to let them know ahead of time that they’ll soon be enrolled with Penfold (otherwise they might be surprised when they receive the email from Penfold!)
We’ve put this email template together that you can use to let your colleagues know that they’ll be re-enrolled and what this means.
3. Re-enroll your employees into Penfold
Once you’ve identified the employees who are due to be enrolled, share this file with workplacesupport@getpenfold.com. You can use this existing file format to include the employees.
We will then re-enrol employees, sending an email with more information about re-enrolment, how to log in and access their pension, and if they wish to, the ability to opt out again.
4. Submit a Declaration of Compliance through the Pensions Regulator
To confirm that you’ve completed your Re-enrolment duties, you’ll need to complete a re-declaration of compliance - this doesn’t sound as time-consuming as you think!
Even if you don’t have any employees who are eligible to be re-enrolled, you’ll still need to complete the re-declaration.
How to submit a declaration of compliance:
Enter your PAYE reference & letter code (found on any letter from HMRC)
Enter information about the total employees enrolled today and when you first started your company
You’ll need your EmployerId (also known as ESPR). This is your company number with ‘PEN’ in front of it e.g: PEN12345678
Enter the information about Penfold:
Pension scheme name: Penfold Pension
PSR: 12017682
